Invitation to attend
On behalf of the Organising Committee I invite you to attend and participate in Coasts and Ports 2009. Your hosts for this conference are the Institute of Professional Engineers New Zealand, the New Zealand Coastal Society, Engineers Australia, and the International Navigation Association (PIANC) (Australia).
Coasts and Ports 2009 offers a technical programme over 3 days that will stimulate discussions around the challenges of environmental change, innovations in maritime industries and policy and planning for dynamic environments. Conference sessions will be complemented with field trips and an Industry Trade Exhibition. A two-day Coastal Engineering Workshop is preceding the conference, facilitated by University of New South Wales’ School of Civil and Environmental Engineering. This workshop offers lectures on a range of coastal and ports topics (see “Pre Conference Course” tab of website).
The 2009 conference is to be held at the wonderful waterfront location of Te Papa Tongarewa, right in the heart of New Zealand’s most dynamic city, Wellington.
We are aware that the economic environment is especially tough at the moment and that this is affecting businesses at all levels. However, in times like these we need to ensure our strategies for the future are robust and that we work together. We aim to create an environment with opportunities to learn from one another, reinforce our networks, and build collaborations and partnerships to take on challenges together. As such we are pleased to offer registration prices that we are sure you will agree are very reasonable. Registration Fees
All fees are in New Zealand dollars and are inclusive of 12.5% Goods and Services Tax (GST).
Earlybird registration fees apply only to Full Delegate and Student Registrations and only to those registrations received before Friday 17 July. Standard registration fees apply to those received after Friday 17 July.

Conference Information and Programme

The start of Coasts and Ports 2009 will be celebrated with a Welcome Reception, including the opening of the Exhibition, on Tuesday 15 September in the Oceania Room. The Welcome Reception & Exhibition Opening will run from 6.00pm–7.30pm. Guests will be invited to register and collect their name badges from 4.30pm that day.
The Official Welcome & Conference Opening is on Wednesday 16 September in Te Papa’s Soundings Theatre, where all plenary sessions will be held. This session will start at 9.00am. Guests will be invited to register and collect their name badges from 7.30am.
Registration at the conference On arrival at Te Papa, please register at the conference registration desk, located in the Wellington Foyer (at the top of the escalator.) Registered delegates will receive their name tag and conference bag plus any additional conference material.
The Registration Desk will be open at the following times:
Tuesday 15 September: 4.30pm–7.30pm
Wednesday 16 September: 7.30am–5.00pm
Thursday 17 September: 7.30am–5.00pm
Friday 18 September: 7.30am–4.00pm
Climate
Wellington has a slightly unpredictable climate in September. With the possibility of showers, it is recommended to bring a raincoat. Temperatures in September are between 9–15 degrees celcius.
Social Programme
Welcome Reception and Exhibition Opening
Join colleagues at the Welcome Reception & Exhibition Opening on Tuesday 15 September from 6.00pm–7.30pm. Enjoy drinks and nibbles and networking opportunities in Te Papa’s Oceania room which will be home to the conference Exhibition.
Cost for Day Delegate Registrations and Accompanying Persons per ticket: $50.00 incl GST.
Gala Dinner
The Gala Dinner will be held in the Te Papa’s very grand Wellington Foyer on Wednesday 16 September from 7.00pm. Guests will enjoy pre dinner drinks followed by a 3 course meal and live entertainment.
Cost for Student Registrations and Day Delegate Registrations, and Accompanying Persons per ticket: $115.00 incl GST.
Day Delegate and Accompanying Person Registrations must purchase tickets to all social functions via the online registration.
Accommodation
Conference rates have been negotiated with four Wellington hotels, ranging from 3 to 4.5 stars. These room rates are available only by booking your accommodation through the conference organisers. This should be done during the online registration process.

Rooms will be allocated on a first-in basis until August 14, subject to availability. After that date, all unallocated rooms will be released. We encourage delegates to book early to secure your preferred hotel. |

Accommodation booked must be guaranteed with a deposit of one room night, payable to Avenues Event Management. On check-out, the balance of your accommodation costs can be settled with cash, eftpos or credit card with the hotel directly. |

If you would like to check-in earlier than 2.00pm, please book yourself in for the night before when registering. This is advisable for international delegates arriving on early morning flights. |

If you will be arriving at your hotel after 6.00pm, please indicate this when registering to avoid your room being released and a ‘no show’ fee being charged. |
Accommodation cancellations
Any changes to accommodation bookings must be notified in writing to Avenues Event Management by 14 August. Charges for cancellation will be at the discretion of the hotel concerned.

Privacy Statement
Information you provide when registering for the conference may be used by Coasts and Ports 2009 to assist with administrative and planning purposes for promotion, networking, revenue raising and administration of this and future events of this type (including provision of a delegate list to conference sponsors and exhibitors). The information that you provide in your online registration form and information provided at any other time during the conference, including without limitation any feedback obtained during the conference, will be used by Coasts and Ports Conference 2009 to offer, provide and continue to improve its conference and other services. We intend to communicate with you via email from time-to time to promote and manage this event and future events of this type. Should you not wish your details to be used for these purposes, please contact Avenues Event Management.
Before your name, organisation, state and email address details can be published in the list of the conference delegates for distribution to fellow delegates or any other party, you must give your consent. If you DO NOT wish to have your details included in the Delegate List please indicate this on the online registration.
Acknowledgement of Registrations
Your registration will be confirmed in writing by email. Please contact Avenues Event Management if you do not receive an email confirming your registration with a paid/unpaid invoice attached or if you need to make any changes to your registration details.
Payment Methods
Please ensure that all payments are made in New Zealand dollars. Payment for registration may be made at the end of the online registration process by credit card (secure transmission facilities provided) or an invoice may be requested.
Registration Cancellations
All cancellations must be notified in writing to Avenues Event Management (email is acceptable). Registration cancellations received in writing before and including 14 August 2009 will receive a full refund, less an administration charge of $35.00 exclusive of GST. After this date no refunds will be made. Should you be unable to attend, it is possible to reassign your registration to another member of your organisation. Please inform Avenues Event Management of any such substitutions.

The Coasts and Ports 2009 Organising Committee, including the conference organisers, Avenues Event Management, will not accept liability for damages of any nature sustained by participants or their accompanying persons or loss or damage to their personal property as a result of the conference or related events.
